Sales records
Sales records are store documents that account for adjustment of stock item levels as a result of the sale of menu items.
Sales records are usually generated when a business day is closed. They account for the stock item deductions required by sales of menu items made throughout the day.
Sales records cannot be deleted.
Stock items can be included in sales records as standalone items or as ingredients in recipes of other stock items.
If a stock item in a sales record has a recipe in the directory, its recipe items are included in the sales record automatically. Ingredients can be added to or edited in a sales record manually if necessary.
The list allows sales records to be manually processed. Depending on the settings configured for a division in the directory, sales records may be processed automatically on creation, or manually (only after the Registered status has been applied by the user).
command in the context menu of theSales records have different statuses at different stages of processing:
-
Not ready — illustrated by the icon,
-
Drawn up — illustrated by the icon,
-
Registered — illustrated by the icon.
Records created on terminals have either the Not ready or Registered status. The Not ready status is only applied if manual processing is specified for the division that the terminal belongs to. Records with the Drawn up or Registered status are read-only. To make them editable, the status must be changed to Not ready. Applying the Registered status makes the record available to the storekeeping system for processing.
The Deleted status can only be applied to a sales record automatically, and only if all sales for the business day have been deleted from the system. During processing, records with this status are illustrated by the icon.
Stock items in a sales record also have statuses, which are applied automatically on processing by the storekeeping system.
A document specification element can have the following states:
-
OK - denotes that processing was successful.
-
Stock-in volume does not cover stock-out after changes. - this occurs when the on-hand supply of a stock item is less than the amount by which it has been depleted.
-
Stock-in date cannot be the same or later than the date of a Stock-out directly associated with it — occurs if the date that a stock item arrived is specified as later than the date the stock item was dispatched.
-
Enter stock-in amount - occurs if the stock in ammount has not been entered.
-
Theoretical on hand stock has changed since last calculation — occurs if stock item count changes while the document is being processed.
-

-
Internal error: record cannot have null volume - occurs when a null value is discovered in a stock item volume during processing. Internal programme error.
