The Specification panel contains a list of the stock items included in the stock-in record.

Data grid columns:

  • Stock item is the name of the stock item included in the stock-in record.

  • Quantity is the quantity of the specification item in the stock-in record.

  • Unit (stock item) is the unit of measurement for the stock items.

  • Concurrence is the name of the stock item concurrence associated with the stock item.

  • Price is the stock items price per unit.

  • Total is the total value of the selected quantity of the stock item, excluding VAT.

  • VAT % denotes the VAT rate applicable to the stock item.

  • VAT amount is the amount of the value added tax.

  • Incl. VAT denotes the total payment amount for the selected stock item quantity, including VAT.

  • Comment is a short text comment.

  • Status (store) designates the status of the stock-in record specification item.

    The status is set after the stock-in record is processed by the storekeeping system.

  • Stock item group indicates the stock item group to which the stock item belongs.

  • Type indicates the stock item type.

  • Class is the stock item class.

  • Document designates the number of the stock-in record.

  • Index indicates the place of the stock item in the specification.

The specification context menu contains the following commands:

  • Add (Ins) – adds a stock item to the stock-in record specification.

    This command is accessible only in the specifications of stock-in records that have the Not ready status.

  • Edit/View (F2) – edits or displays stock-in record specification items.

    The Edit command is only enabled in the specification of stock-in records with the Not ready status if the specification has at least one stock item.

    If the note has a status of either Ready or Registered, the Edit command in the context menu is replaced with the View command.

  • Delete (Del) – permanently deletes the selected items from the stock-in record specification.

    The Delete command is available when one or more specification items are selected and the stock-in record has the Not ready status. The command is disabled in incomplete specifications, regardless of the status of the stock-in record.

  • Select from stock items – selects stock items from the Stock items directory to add them sequentially to the stock-in record specification.

    The Select from stock items command is added to the context menu of the specification of a record with the Not ready status.

  • Select from stock on hand – selects stock items from the Stock on hand operational report to add them sequentially to the stock-in record specification.

    The Select from stock on hand command is added to the specification context menu of a stock-in record with the Not ready status.

  • Edit sequentially (Shift+F2) – edits specification items in sequence without closing the editor window.

    The Edit sequentially command is only available in specifications of stock-in records with the status Not ready.

  • Stock movement – displays an operational report on movement of the selected stock items.

    This command is available only for filled in specifications of stock-in records regardless of the documents' current status.

  • Stock item turnover – opens an operational report on stock turnover of the selected stock items.

    This command is available only for filled in specifications of stock-in records regardless of the documents' current status.

  • Stock out by stock in – opens an operational report on stock usage for the selected stock items.

    The command is available only when you select specification items of stock-in records that have the status Registered.

  • Undo delete – cancels deletion of stock items from the specification of the stock-in record.

    The command is enabled only if the specification item that caused an error during document processing by the store software has been deleted.

  • Return – adds the selected stock items to the specification of the new return delivery note.

    The command is available only when you select specification items of stock-in records that have the status Registered.

    The Return command will be available in the specification of the editor window for multiple stock-in records if the selected stock-in records have the same store and supplier.

    The Return command opens the entry window for a return delivery note, the specification of which contains the selected stock-in record specification items. The new entry window for the return delivery note will contain the same store and partner as the stock-in record. These fields are read-only.

  • Status – menu with the commands to change the status of the stock-in record.

    When you select one or more documents with the same status, their current status will not be available in the context menu. When you select documents with different statuses, all possible statuses will be available in the context menu.

  • Clipboard – menu with the commands to operate the clipboard.

  • Print (Ctrl+P) – generates print layouts.

  • Summary functions – menu with the commands to manage the summary functions of the data grid.

  • Additional functions – menu with the commands to operate the data grid.

You can add new specification items in the New stock-in record specification item and New stock-in record specification items entry windows.

To edit specification items, use the Stock-in record specification item and Stock-in record specification items editor windows. A sequential editor window can also be used for editing. This window is also called Stock-in record specification item .

The Stock-in record specification item and Stock-in record specification items editor windows are used for editing specification items.

A confirm permanent deletion prompt appears when you delete stock-in record specification elements.
