Stock-out record specification item window

The following windows are used for working with stock-out record specification items:

All of these windows are opened from the stock-out record specification.

You can open the editor window by using the Edit command. From here, you can modify attributes of one or more stock-out record specification items.

If one item is selected in the specification, the Stock-out record specification item editor window opens. Which fields appear in these windows depends on whether this item is independent or subordinate to another item in the specification.

Window fields:

  • Document is the number of the stock-out record. This is a required field.

  • Parent indicates the parent item of the stock item.

    You can select this value in the Select stock-out record specification item window.

    The field is populated only for stock items included in the recipe of another stock item.

    The name of the stock item with recipe (dish or ingredient), in which the listed stock item is included, is specified in this field.

  • Stock item denotes the stock item that was added to the stock-out record specification from the Stock items directory or from the Stock on hand operational report. This is a required field.

    It has a drop-down list with the following commands: select... and select from stock on hand....

    By pressing the Select button or using the select... command, you can open the Select stock item window. The select from stock on hand... command opens the Select from stock on hand window.

  • Quantity is the quantity of the stock item in units of measurement. This is a required field.

    The quantity of the stock item indicates the amount by which the stock on hand will be decreased once the document is successfully processed by the storekeeping system.

  • Unit (stock item) is the unit of measurement for the stock item. This is a required field.

    For convenience, the name of this field is not displayed in the window. Please select a unit in the Select stock item unit of measurement window.

    The unit of measurement shows how to measure quantities of stock items included in the specification of the stock-out record.

  • Price denotes the stock item price per unit. This is a required field.

    The stock item price is defined per one unit of the stock item (quantity, weight, or volume).

    The price at which the stock item is released from the store is used to calculate stock item cost prices.

  • Total is the total price of the indicated quantity of the stock item. This is a required field.

    This field is populated automatically after values are entered in the Price and Quantity fields.

    Total price = price * quantity

  • VAT % is the VAT rate applicable to the stock item. This is a required field.

    In the drop-down menu there is a list of all VAT rates from the VAT rates directory.

    This percentage determines the amount of VAT added to the selected stock item. The default VAT is listed in the System settings directory.

  • VAT amount is the amount of VAT levied on the selected stock item. This is a required field.

    The field is populated automatically after you have entered values in the Total and VAT % fields.

    VAT amount = total * VAT %.

    This percentage determines the amount of VAT to be calculated for the selected stock item.

  • Incl. VAT is the total amount due for the indicated stock item quantity, including VAT. This is a required field.

    The field is populated automatically after you have entered values in the Total and VAT % fields. The amount including VAT represents the total amount to be paid for the goods delivered to partners.

    This value shows the amount due for the received stock item, including VAT.

  • Index indicates the place of the stock item in the order of the stock-in record specification.

  • Comment is a short comment.

    Any additional information can be entered in this field.

  • Recipe mode denotes the mode in which stock items are included into the stock-out record specification. This is a required field.

    Please select from:

    • By stock item concurrence,

    • Manual,

    • Always with recipe,

    The default value is By stock item concurrence.

    If Always with recipe is selected, the stock item is entered into the specification along with its ingredients, regardless of the store’s concurrence. In this case, the Recalculate child items field is unavailable.

    If the Manual value is selected, the user chooses whether or not to include the recipe for this stock item into the specification. In this case, you can edit the Recalculate child items field.

    If By stock item concurrence is selected for a stock item, the stock item concurrence defines whether or not recipe ingredients for the stock item need to be entered into the specification. In this case, the Recalculate child items field is unavailable.

  • Recalculate child items defines whether the quantities of the ingredients need to be recalculated when the quantity of the compound stock item is changed. This is a required field.

    Please select one of the following options:

    • Recalculate,

    • Recipe from directory,

    • Don't recalculate,

    If Recalculate is selected, changing the quantity of the compound stock item will change the values in the Quantity, Net, and Yield fields of its child stock items (ingredients).

    If Recipe from directory is selected, changing the quantity of the compound stock item will change the values in the Quantity, Net, and Yield fields of its child stock items according to the compound stock item's recipe (defined in the Stock items directory).

    If Don't recalculate is selected, changing the quantity of the compound stock item will not change the values in the Quantity, Net, and Yield fields.

Click OK to save data. Selecting Cancel will close the window without saving data.

If a stock item is added to the specification as an ingredient in the recipe of a compound stock item, the Price, Total, VAT %, VAT amount, and Incl. VAT fields of the editor window are replaced with the following fields:

  • Cold preparation wastage % denotes the percentage of the stock item quantity modified during cold preparation.

    The modification percentage can be positive or negative. A positive value shows how much of the stock item’s quantity will be lost during this process. A negative value denotes by what percentage the stock item’s quantity will increase.

    This value can be entered manually or selected from a drop-down list that contains the options for cold preparation wastage previously entered in the Stock items directory, as well as the (empty) option, which allows the stock item to be entered without cold preparation wastage.

    If the Stock items directory does not contain any options for cold preparation wastage, only the (empty) option will be available for selection.

  • Net is the net quantity of the stock item after cold preparation. This is a required field.

    The value in this field is calculated automatically from the values entered into the Quantity and Cold preparation wastage % fields.

    Net quantity = Quantity - Quantity*Cold preparation wastage %
  • Cooking wastage % denotes the percentage by which the quantity changes as a result of cooking.

    The modification percentage can be positive or negative. A positive value shows how much of the stock item’s quantity will be lost during this process. A negative value denotes by what percentage the stock item’s quantity will increase.

    This value can be entered manually or selected from a drop-down list that contains the options for cooking wastage previously entered in the Stock items directory, as well as the (empty) option, which allows the stock item to be entered without cooking wastage.

    If the Stock items directory does not contain any options for cooking wastage, only the (empty) option will be available for selection.

    Yield is the yield of the stock item after cold preparation and cooking wastage. This is a required field.

    The value in this field is calculated automatically from the values in the Net and Cooking wastage % fields.

    Yield = Net quantity - Net quantity*Cooking wastage %

If two or more specification items are selected, the Edit command will open the Stock-out record specification items editor window. It has a panel displaying a list of the selected specification items. Their associated stock-out records appear in brackets.

Only specification items of the same type (either standalone stock items or ingredients) can be selected simultaneously for editing.

The panels and fields are similar to those in the Stock-out record specification item editor window.

The entry window is used to enter one or more new items to the stock-out record specification.

You can open the New stock-out record specification item entry window by using the Add command, by pasting one or more stock items from the clipboard, or by selecting one or more stock items from the Stock items directory or from the Stock on hand operational report in the sequential entry mode.

Stock items can be added to the specification independently or as child elements (ingredients in the recipes of compound stock items).

By default, the entry window opens in the standalone stock item configuration.

If Manual is selected in the Recipe mode field, the window will contain the Unfold recipe field.

  • Unfold recipe defines whether recipe ingredients should be added when a stock item with a recipe is added to the specification. This is a required field.

    Please choose between: Yes and No.

    If Yes is selected, the recipe ingredients are added to the specification along with the compound stock item. If No is selected, only the compound stock item will be added to the specification.

When a stock item is added to the specification as an ingredient of a recipe, the fields in the entry window change.

The panels and fields are similar to those in the Stock-out record specification item editor window.

You can open the New stock-out record specification items entry window by pasting several stock items from the clipboard or by selecting one or more stock items from the Stock items directory or from the Stock on hand operational report in sequential entry mode.

By default, the stock item entry window opens in the standalone configuration. It has a panel displaying a list of the selected specification items. Their associated stock-out records appear in brackets.

After you fill in the Parent field, the fields in the entry window will change.

The panels and fields are similar to those in the Stock-out record specification item editor window.

You can open the sequential editor window by using the Edit sequentially command when a standalone specification item (a simple stock item or a stock item with recipe) is selected. The sequential editor window allows stock-out record specification items that do not have a parent to be edited sequentially in the order in which they appear in the document specification. This can be carried out without closing the window.

The sequential editor window contains the additional buttons: < Edit and Edit >.

The panels and fields are similar to those in the Stock-out record specification item editor window.

You can open the stock-out record specification item viewing window by using the View command. From here, you can familiarise yourself with the attributes of one or more selected items.

The window opens when you select one or more specification items of a stock-out record with the status Ready or Registered. This window is read-only; all fields are disabled.

If one item is selected in the specification, the Stock-out record specification item editor window opens.

Selecting Close will close the viewing window.

You can open the Stock-out record specification items viewing window by using the View command when you have selected two or more specification items from stock-out records with the status Ready or Registered.
