Stocktaking record collation report item

The following windows are used with stocktaking record collation report items:

All of these windows are opened from the context menu of the Collation report panel.

You can open the editor window by using the Edit command. From here, you can modify attributes of one or more collation report items.

If one item is selected in the collation report, the Stocktaking record collation report item editor window opens.

There are two versions of the editor window:

The editor window for a standalone stock item (a simple stock item or a stock item with recipe) appears as follows:

Window fields:

  • Document is the number of the stocktaking record the collation report of which includes the stock item. This is a required field.

  • Parent is the parent item of the collation report. This field is filled in only if the stock item is listed as an ingredient in the recipe of another stock item.

    You can select this value in the Select stocktaking records collation report item window.

    If a parent element is selected, the stock item is added as a child element. Otherwise it will be added as a standalone (top-level) element.

  • Stock item is the stock item included in the collation report of the stocktaking record. This is a required field.

    The field has a drop-down list with the following commands: select... and select from stock on hand....

    By pressing the Select button or using the select... command, you can open the Select stock item window. The select from stock on hand... command opens the Select from stock on hand window.

  • Actual on hand designates the actual amount of the stock item in units of measurement. This is a required field.

    If a stock item is selected in the Stock on hand operational report, the absolute value of the current on-hand amount of the stock item is displayed in the Actual on hand field by default.

    When the stocktaking record is assigned the status Processed, the actual on hand of the stock item included in the collation report is compared to the theoretical on hand of this stock item. If the amount of the actual on hand does not match the theoretical on hand, the stock item is included in the specification of the stocktaking record.

    Excess amounts of the stock item are included in stocktaking record specifications of the Stock-in operation type; shortages are included of the Stock-out operation type.

  • Unit (stock item) is the unit of measurement for the stock item. This is a required field.

    Please select a value in the Select stock item unit of measurement window.

  • Index is the place of the stock item in the order of the stocktaking record collation report specification.

  • Comment is a short text comment.

    Any additional information can be entered in this field.

  • Recipe mode indicates how stock items are included in the stocktaking record collation report. This is a required field.

    You can choose from:

    • By stock item concurrence,

    • Manual,

    • Always with recipe.

    The default value is By stock item concurrence.

    If By stock item concurrence is selected for a stock item of the With recipe class, the stock item concurrence selected for the store defines whether recipe items for the stock item need to be entered into the collation report.

    If the Manual value is selected, the user chooses whether or not to include the recipe for this stock item into the collation report. In this case, you can edit the Recalculate child items field.

    If Always with recipe is selected, the stock item is entered into the collation report along with its ingredients, regardless of whether the store’s concurrence requires this or not.

  • Recalculate child items defines whether the quantities of the ingredients need to be recalculated when the quantity of the compound stock item is changed. This is a required field.

    This field is only available when Manual is selected in the Recipe mode field.

    You can choose from:

    • Recalculate,

    • Recipe from directory,

    • Don't recalculate.

    If Recalculate is selected, changing the quantity of the compound stock item will change the values in the Actual on hand, Net, and Yield fields of its child stock items (ingredients).

    If you select Recipe from directory, changing the quantity of the compound stock item will change the values in the Actual on hand, Net, and Yield fields of its child stock items according to the compound stock item's recipe defined in the Stock items directory.

    If Don't recalculate is selected, changing the quantity of the compound stock item will not change the values in the Actual on hand, Net, and Yield fields.

Click OK to save data. Selecting Cancel will close the window without saving data.

If the selected stock item is included in the collation report as a child element, the editor window will contain additional fields for cold preparation and cooking wastage percentages.

Collation report child element editor window fields:

  • Cold preparation wastage % denotes the percentage of the stock item quantity modified during cold preparation.

    The modification percentage can be positive or negative. A positive value shows how much of the stock item’s quantity will be lost during this process. A negative value denotes by what percentage the stock item’s quantity will increase.

    You can select an option from the drop-down list containing values that were previously entered as options for cold preparation wastage in the Stock items directory, as well as the (empty) option, which allows you to forgo entering the cold preparation wastage.

    If the Stock items directory does not contain any options in the cold preparation wastage field, only the (empty) option will be available for selection.

  • Net is the net quantity of the stock item after cold preparation. This is a required field.

    The value in this field is calculated automatically from the values entered into the Actual on hand and Cold preparation wastage % fields.

    Net = Actual on hand*Cold preparation wastage %/100
                    

  • Cooking wastage % denotes the percentage by which the stock item quantity changes as a result of cooking.

    The modification percentage can be positive or negative. A positive value shows how much of the stock item’s quantity will be lost during this process. A negative value denotes by what percentage the stock item’s quantity will increase.

    You can select an option from the drop-down list containing values previously entered as options for cooking wastage in the Stock items directory, as well as the (empty) option, which allows you to forgo entering the cooking wastage.

    If the Stock items directory does not contain any options for cooking wastage, only the (empty) option will be available for selection.

  • Yield is the yield of the stock item after cold preparation and cooking wastage. This is a required field.

    The value in this field is calculated automatically from the values in the Net and Cooking wastage % fields.

    Yield = Net - Net*Cooking wastage %/100
                    

The rest of the fields correspond to those in the collation report standalone element editor window.

The multiple collation report items editor window opens when more than one item is selected for editing.

The name of the editor window changes to Stocktaking record collation report items. It has a panel displaying a list of the selected items; their corresponding stocktaking records appear to the right in brackets.

Only items of the same type (only standalone stock items or only ingredients) can be selected simultaneously for editing.

The fields are similar to those in the editor window for the collation report item of the stocktaking record.

The stocktaking record collation report item sequential editor window is opened by using the Edit sequentially command when you select a standalone item in the collation report.

During sequential editing the editor window for the stocktaking record collation report contains the < Edit and Edit > buttons.

The fields and panels are similar to those in the collation report standalone item editor window.

You can open the New stocktaking record collation report item entry window by using the Add command, by pasting one or more stock items from the clipboard to the collation report, or by selecting one or more stock items from the Stock items directory or from the Stock on hand operational report in the add sequentially mode.

Stock items can be added to the collation report as standalone elements or as child elements (ingredients in recipes of compound stock items).

The stocktaking record collation report item entry window opens in the standalone stock item configuration by default.

If Manual is selected in the Recipe mode field, the Unfold recipe field becomes editable.

  • Unfold recipe defines whether the recipe ingredients of the compound stock item should be included in the collation report.

    You can choose between: No and Yes. The default value is No.

    If Yes is selected, both the compound stock item and its ingredients are included in the collation report.

    If No is selected, only the selected stock item is entered into the collation report.

The fields are similar to those in the sales record collation report standalone item editor window.

When a parent element is selected in the collation report entry window, the stock item that is entered becomes a child element (an ingredient in the recipe of the parent element) and the fields in the window change:

The additional fields are similar to those in the stocktaking record collation report child item editor window.

You can open the New stocktaking record collation report items entry window by pasting multiple stock items stocktaking record from the clipboard to the collation report. Alternatively, you can do so by selecting two or more stock items from the Stock items directory or from the Stock on hand operational report in the add sequentially mode to the collation report.

The multiple stocktaking record collation report items entry window contains a panel with a list of the stock items added from the clipboard.

There are two versions of the window:

  • to add multiple standalone items to the collation report,

  • to add multiple child items to the collation report.

When multiple items are added to the collation report, the multiple standalone stock items entry window opens by default.

The fields are similar to those in the editor window for a stocktaking record collation report item.

The stocktaking record collation report item viewing window is opened by using the View command. From here, you can view one or more collation report items from a stocktaking record with the status Ready, Processed, or Registered.

The viewing windows for the standalone and child collation report items are different.

The collation report standalone item viewing window appears as follows:

The fields are similar to those in the stocktaking record collation report standalone item editor window.

Selecting Close will close the viewing window.

The fields are similar to those in the stocktaking record collation report child item editor window.

Only items of the same type can be selected for simultaneous viewing: standalone stock items or child stock items.

The viewing window contains a list of the selected items and stocktaking record numbers.

The fields are similar to those in the stocktaking record collation report item editor window.
